Privacy Policy

The Welcome PDX (“we,” “us,” “our”) is a Portland, Oregon 501(c)(3) nonprofit. This Privacy Policy explains how we collect, use, and protect information when you use The Academy — our education platform at thewelcomepdx.org and this site.
We value your privacy. We do not sell your information to any third party, for any reason. We do not share your information with any third party without your explicit consent, except in the limited circumstances described below. Any information we collect through this site is used only to offer, fund, and facilitate our programs and services.
Information we collect
Depending on how you use the site, we may collect:
- Account and contact information — name, email address, phone number, mailing address, and (if you choose to provide it) an emergency contact.
- Program participation — workshops you request, enroll in, or complete; attendance; coursework, submissions, grades, and certificates.
- Communications — messages you send through the platform, community board posts, and topic or account requests.
- Care notes — private notes our staff and facilitators may keep to support you well. These are visible only to authorized staff, never to other students, and never shared outside The Welcome PDX without your explicit consent.
- Technical information — basic sign-in and activity records needed to keep the platform secure and working correctly.
How we use your information
We use the information we collect only to:
- Offer, run, and facilitate our workshops and programs;
- Communicate with you about your account, enrollment, and program activity;
- Track attendance and progress, and issue certificates of completion;
- Report in aggregate, de-identified form to funders and grantors, so we can continue offering these programs for free;
- Keep the platform safe, secure, and working as intended.
We do not sell or share your information
We never sell your personal information to anyone, for any purpose. We do not share your information with third parties without your explicit, informed consent — including with employers, family members, or anyone else who might ask about your participation in our programs.
The only exceptions are: (1) trusted service providers who help us run the platform itself — for example, secure database hosting, email delivery, and AI-assisted tools that help generate or grade coursework — all of whom are contractually restricted to using your information solely to provide that service to us, and never for their own purposes; and (2) where we are required to by law, or where necessary to protect the safety of you or someone else.
Your choices and rights
- You can review and update your contact information from your profile at any time.
- You can ask us what information we hold about you, or ask us to correct or delete it.
- You can opt out of non-essential notifications from your profile settings.
- You can ask us to close your account at any time.
To make any of these requests, contact us using the information below — a real person will respond, usually within a day.
How we protect your information
We use industry-standard security practices to protect your data, including encrypted storage and access controls that limit sensitive information (like care notes) to authorized staff only. No method of storage or transmission is 100% secure, but we work to protect your information at every step.
Changes to this policy
If we make material changes to this policy, we’ll update the effective date above and, where appropriate, let you know directly.
